Requirements
Set-Up
and Break-Down
Events are booked with specific start and conclusion times. When making
reservations, you should be certain that the time frame you book includes
ample time to set-up and break-down your event. As a courtesy, Elmwood
Community Center allows an additional fifteen-minute set-up period to
bring in equipment or decorate the room prior to the designated start
time. All requests for additional time must be discussed with the Facility
Manager prior to the event. Your group is expected to clean-up, remove
all equipment and vacate the building by the designated conclusion time.
Failure to do so will result in an overtime charge, or in the forfeiture
of part or all of your security deposit.
Decorations
You may decorate the area you have rented, but decorations may not be
glued, stapled, or nailed to any part of the walls, ceilings, windows,
draperies, blinds or light fixtures. Decorations may be taped to the
walls, blackboards or bulletin boards, and care should be taken to remove
them so that there is no damage to the facility. Due to fire regulations,
no live green boughs or wreaths may be used in any part of the facility.
You must discuss your plans to use any other potentially flammable decorations
with the Facility Manager at the time your event is booked.
Clean
Up
It is your group's responsibility to restore the facility to the condition
in which it was rented. You are responsible for the complete clean-up
and disposal of garbage/trash in the containers provided in the rental
area. In some instances, the Facility Manager may require your group
to dispose of trash in the receptacles outside the building. Brooms,
vacuums and trash bags are available at no cost. Caterers must remove
all equipment and supplies from the facility at the conclusion of the
event. No food, liquor or equipment may be stored overnight.
Inspection
The Elmwood Community Center staff will inspect the rental area upon
your arrival, and you will be asked to sign an inspection form attesting
to the condition of the room. After the event, the facility's personnel
will inspect the room again. Any damages to the room caused by your
group or caterer, or unsatisfactory clean-up will be charged to your
group.
